Term
time
Definition
Each project has a carefully planned sequence of events that must occur to reach the project goal. We call this a project timeline. If any part of the sequence is delayed, it can throw off the timeline and possibly delay the project completion date.
Term
cost
Definition
Each project will have a project budget. The project manager will outline a project plan that will specify what resources are needed and the cost of the resources. This is a project budget.
Term
specifications
Definition
Specifications are very detailed and precise explanations of the product or process. If you were working on building something, you would need to know not only what needs to be built but also how you will be expected to build it. Project specifications include the specifications of the product itself but also clearly defined roles and responsibilities for those working on the project. Projects often include people who do not usually work together. It is critical that everyone understand his or her role.
Term
client expectation
Definition
When a person or organization uses the services of another professional, we call him or her the client. The client could be the company itself, a division of the company, or an individual or company that is paying for the production of the product, which includes a number of people and resources. Basically, the client outlines the product or outcome. The project manager sets up a timeline, budget, and project team. The project team uses the client’s specifications to build the product. The project manager oversees all aspects of the project to ensure the client’s expectations are met.
Term
project managers
Definition
Project managers shoulder the responsibility for project success. Let us take a look at some important factors to consider when selecting a project manager.
Term
stakeholders
Definition
The term stakeholder is one that is used often in business. In project management, a stakeholder is an individual, group, or organization that holds an interest or plays a role in the outcome of a project. Every individual working on the project is a stakeholder. The client is a stakeholder. There may be people who have invested money in the project who would be considered stakeholders. There are a number of examples but a simple way to determine if someone is a stakeholder is to look as if he or she has something to gain or lose from the project outcome.
Term
Project Planning
Definition
Before any project is under way, the project manager must create a project plan. Before writing a project plan, the project manager must consider what needs to be done, how it can be done, and how to obtain the resources to do it. Working through some different project documents can help the project manager answer these questions.
Term
Project Overview
Definition
A project plan should always include an overview of the projects purpose and goals. The overview would outline project goals and the scope of the project. This helps everyone have a clear understanding of the “big picture” and how they fit into it.
Term
Project Budgets
Definition
Project budgets include all of the costs to complete the project. This includes one time set-up costs as well as costs of supplies and labor. This would vary based on the type of project but could include the obvious things like employees, physical supplies, the use of facilities, etc. It would also need to include the less obvious items like permits, shipping, costs associated with delays, costs associated with waste, and more.
Term
Project Timeline
Definition
A project timeline is a schedule of events, as they should occur. This includes important milestones and specific dates.
Term
Project Participants
Definition
Putting together an effective team that works well together is critical for project success. Every individual plays an important role. The basic characteristics that project managers look for in project participants are:
Term
Contracts/Contractors
Definition
Some project teams are made up of people within the organization. Others are partially or entirely made up of people who are employed on a limited basis to complete a role in the project. We call these individuals contractors. The project manager would hire a contractor on a short-term basis to complete a specific task.
Term
Statement of Work
Definition
A statement of work (SOW) is a very important document. There may be one for the entire project and individual ones for the client and each project participant. They are very important if the project workers are hired for a specific task in the project. For example, if you hire a contractor to create the video portion of a project, the SOW would include the specifications for the videos, the expectations, and what the contractor must deliver. This is a very specific list. If the project manager then came later to the contractor and asked him or her to do some web design also, the contractor could clearly show that that is not something that should be expected of him or her. When this happens, we often say the request is beyond the scope of the contract. A poorly written SOW can lead to project conflict and misunderstandings.
Term
Evaluation Tools
Definition
This is an important part of the project plan. It clearly outlines the milestones and how the project will be evaluated during the project and after completion of the project. Using evaluation tools can help identify problems, or potential problems, during the course of the project. After the project it is important to look back and review what did and did not work in the project plan. Evaluation tools could be simple reviews, checklists, or complex evaluation models.
Term
Potential Problems
Definition
Not all project plans will include a section on potential problems. Some project managers argue that there are many problems that cannot be anticipated. However, there is value in looking at the situation and spending some time trying to anticipate potential problems that may occur. Some examples of problems could include things like rain delays, cost over-runs, a delay in supplies, losing a project member at a critical time, and more.
